ST929: Intern Tracking & Management System (InTrack)

Intern Tracking and Management System (InTrack) is a web based program that was developed to modernize and automate administrative processes that are involved in the management of interns within an organization. The current system involves the use of Microsoft Excel forms that are sent via email and interns are required to manually fill attendance records, allowance claims and leave applications, obtain physical signatures with their supervisors and resubmit form to the Human Resources (HR) department. The multi-step workflow that is paper-based brings with it a lot of inefficiency in the workflow, such as delays in approval, inability to audit records, and extreme vulnerability to human error. InTrack tackles these issues by offering a centralized online platform which integrates three key stakeholders, including interns, managers and HR staff, into a single and simplified workflow. The system allows interns to submit records electronically, automatically transfers submissions to the respective managers to be digitally approved, and allows the HR to monitor, process and forward approved records to the Finance department easily. InTrack will aim to achieve improved accuracy of the data, less administrative workload, greater operational transparency, and an overall more structured, professional experience of managing internships to all parties involved.
