Abstract

The USM Grant Monitoring and Reporting System is a web-based management solution designed to streamline the research administrative workflow within the Bahagian Jaringan Industri dan Masyarakat (BJIM) at Universiti Sains Malaysia. The system addresses the inefficiencies of manual tracking by providing a centralized digital platform for managing university grants, specifically focusing on EO (Internal) and EXC (External) funding categories.

Using a relational database architecture, the system establishes a clear hierarchy where lecturers can manage multiple research projects, each requiring a structured three-phase submission process: Laporan 1, 2, and 3. Key features include a specialized Lecturer Module for secure file uploads, an Administrative Dashboard for real-time progress monitoring, and Automated Email Triggers to manage deadlines and reduce overdue submissions. By automating these processes, the system ensures high data integrity for MyRA (KPI) reporting and university audits while improving communication between researchers and administrative staff. This project represents a vital digital upgrade to the university's research infrastructure, fostering greater accountability and operational efficiency in grant management.
