Organisations today still rely on manual document handling, which leads to problems such as slow retrieval, misplaced files, unauthorised access, and lack of proper tracking. The Smart Document Management System (SDMS) is a web-based system developed to solve these issues by providing a centralised platform for managing documents digitally. The objectives of this system are to develop a secure role-based document management system, to improve document retrieval efficiency through a structured search function, and to provide management with accurate reports for better decision-making. SDMS supports four user roles which are Admin, Staff, Document Controller, and Management, each with different access levels. The system is built using PHP, MySQL, and follows the Agile methodology to ensure structured and efficient development.
