A Smart School Maintenance and Safety Reporting System

ABSTRACT

Educational institutions frequently encounter maintenance and safety challenges that negatively affect learning environments, operational efficiency, and student well-being. Damaged facilities, unsafe infrastructure, delayed repairs, and fragmented reporting processes often remain unresolved due to inefficient communication channels, lack of accountability, and the absence of real-time monitoring systems. These issues not only disrupt teaching and learning activities but may also expose students and staff to unnecessary safety risks. To address these challenges, i-FixIt BN was developed as a Smart School Maintenance and Safety Reporting System that transforms conventional complaint management into a centralized, data-driven, and technology-enabled solution. Developed using Flutter, Firebase, cloud computing, and real-time analytics, the platform enables students, teachers, and staff to instantly report maintenance and safety issues through digital submissions supported by photographic evidence, location tagging, priority classification, automated technician assignment, and real-time status tracking. The system incorporates multiple user roles, including User, School Administrator, Maintenance Officer, Head of Unit, Technician, and Super Administrator, ensuring transparency, accountability, and efficient case resolution throughout the maintenance lifecycle. Unlike traditional reporting methods that rely on manual forms, verbal communication, and paper-based documentation, i-FixIt BN provides actionable maintenance intelligence through analytics dashboards, historical records, recurring issue detection, and performance monitoring that support preventive maintenance and data-driven decision-making. Successfully deployed and actively implemented at Sekolah Arab Sultan Haji Hassanal Bolkiah (SASHHB), Brunei Darussalam, the system is currently entering its second consecutive year of operation, demonstrating its practicality, sustainability, and effectiveness in improving maintenance response efficiency, strengthening stakeholder communication, reducing administrative workload, and fostering a safer and more conducive learning environment. By transforming maintenance reporting into an intelligent digital ecosystem, the innovation empowers schools to move from reactive repairs to proactive facility management. Aligned with Sustainable Development Goals (SDG 4: Quality Education, SDG 9: Industry, Innovation and Infrastructure, and SDG 11: Sustainable Cities and Communities) as well as the aspirations of Wawasan Brunei 2035, i-FixIt BN represents a scalable, sustainable, and future-ready solution capable of revolutionising maintenance and safety management across educational institutions at both national and international levels.
